ADMINISTRATIVE SPECIALIST II Partially Grant Funded Office of International Programs & Studies School of Agriculture, Fisheries & Human Sciences University of Arkansas at Pine Bluff
The Administrative Specialist II reports to the Associate Dean for Global Engagement and provides support to a 5-6 person team, including Project Program Specialist(s) & other programmatic
or operational positions.
The Administrative Specialist II serves as receptionist & office manager to ensure quality service provided to guests & constituents; manages & oversees up-to-date filing systems, including cabinet documents, easy- access office reference materials & digital/ electronic computer-based records; prepares internal & external correspondence, including letters, memoranda, fax transmissions & scanned documents; assists with submission of timesheets, leave requests & other HR-related documents; manages office & project inventory, including the ordering of supplies; handles mail/package services, including office mail distribution, postal or campus deliveries, international courier package delivery & tracking; provides general supervision of student workers; manages the office calendar & tracks program activities & events provides back-up support for staff meetings & meetings; monitors needed office or equipment repairs & submits work orders as necessary; prepares & submits requisitions & travel-related paperwork, including flight bookings, travel authorizations & reimbursement forms; tracks procedures involving invoices, vouchers, requisitions, purchase orders, etc.; may assist with account management & the preparation of reports & spreadsheets; an performs other duties as assigned.
MINIMUM QUALIFICATIONS AND PERSONAL ATTRIBUTES: High school diploma or equivalent plus 2 years of training and/or practical experience in a related area or field is minimum requirement; skills in MS software, e.g., Word, PowerPoint, Publisher, Excel; mature and able to exercise sound professional judgment; can handle stresses associated with dynamism of international programming; able to manage routine tasks with minimal supervision; highly motivated; enjoys interacting with persons & groups from different cultures & nationalities; & consistently exercise courtesy & tactfulness when dealing with faculty, staff, students, stakeholder groups & general public.
